Veterinary Receptionist

About the Role

This is a permanent, full-time receptionist position across two modern veterinary practices in Fife. You’ll work Monday to Friday between 08:00 and 20:00, with a shared Saturday rota from 09:00 to 17:00, giving you a predictable schedule balanced with weekend cover. Based primarily in Dunfermline and Dalgety Bay, you may occasionally support other CVS sites when needed.

As the first point of contact for clients and their pets, you’ll be the backbone of the practice—managing appointments, handling enquiries with professionalism, and creating a warm, welcoming atmosphere. This role combines practical administrative tasks with genuine client care, making it perfect for someone who loves animals and enjoys connecting with people.

Key Responsibilities

• Answer incoming calls, manage appointment scheduling, and keep the practice running smoothly
• Greet clients in person and register new patients with a genuine welcome
• Respond to enquiries via phone, email, and face-to-face with professionalism and empathy
• Process and manage client insurance forms accurately
• Dispense medications to clients as required
• Handle financial transactions and process payments securely
• Organise patients using the in-house system efficiently
• Liaise with other CVS practices to address patient needs and clinical queries
• Support clients during emotionally difficult times with compassion and professionalism
• Handle administrative matters including debt follow-ups, refunds, and client belongings

Requirements

• Previous reception experience is essential; veterinary reception experience is highly valued
• Strong communication skills paired with genuine empathy for clients and their concerns
• Excellent customer service experience and proven ability to work with the public
• Resilience and emotional intelligence to handle sensitive situations with grace
• Proficiency with Microsoft Office and database systems
• Positive attitude and excellent teamwork abilities
• Right to Work in the UK (visa sponsorship is not available for this role)
