Saturday mornings included in rota (1 in 4), but no overnight or out-of-hours shifts required.

About the Role

You’ll be the welcoming face of Cathcart & Winn, managing the day-to-day running of our busy reception desk. This is a part-time position working 30 hours per week across a flexible schedule (Monday–Thursday 8am–7pm, Friday 8am–6:30pm, Saturday 8:30am–4pm, with one Saturday in four), giving you a good work-life balance while remaining integral to the practice’s smooth operation.

You’ll work closely with clinicians, nursing teams, and management to ensure every client receives exceptional care from the moment they walk through the door. Your role spans appointment management, customer service, administrative support, and financial awareness—all crucial to keeping this friendly, dynamic practice running efficiently.

Key Responsibilities

  • Manage appointment bookings professionally and efficiently, proactively filling gaps in the practice diary
  • Answer and make calls to clients, insurance companies, and other veterinary practices with excellent customer service
  • Handle a range of administrative tasks including pet health plans, insurance queries, scanning, and debt management
  • Maintain meticulous attention to detail with paperwork and records to support the team and business operations
  • Show awareness of financial control; discuss outstanding payments with clients sensitively and professionally
  • Manage client complaints with professionalism and escalate appropriately
  • Ensure clear, high-standard communication between practices, referral centres, clients, and colleagues
  • Work in a fast-paced environment while maintaining consistently high standards of service and task completion
  • Uphold the highest professional and ethical standards in all interactions

Requirements

  • Proven experience in a reception or customer-facing role (veterinary experience desirable but not essential)
  • Strong organisational skills and attention to detail
  • Excellent telephone manner and written communication
  • Ability to multitask and remain calm in a busy, dynamic environment
  • Confident with IT systems and administrative software
  • Professional approach to financial discussions with clients
  • Commitment to providing exceptional customer service
  • Flexibility to work Saturday mornings (one in four)
