About the Role

This part-time position offers the perfect balance of purpose and flexibility, working 20 hours over 4 days per week at Garston Veterinary Group’s multiple Somerset and Wiltshire locations. You’ll work alongside a fellow Wellness Coordinator to develop, manage and promote wellness plans—coordinating with the nursing, marketing and finance teams to ensure consistent delivery across all sites.

Garston Veterinary Group operates five surgeries across the region (Frome, Melksham, Trowbridge, Westbury, and Warminster), each staffed with experienced vets and nurses committed to modern, quality care. Key Responsibilities

  • Set up new wellness plans, including welcome letters and terms & conditions for incoming clients
  • Operate and manage reminder systems to keep clients engaged with their pets’ wellness schedules
  • Manage payment systems and calculate outstanding balances across all sites
  • Ensure all associates receive clear instructions and ongoing training in wellness plan procedures
  • Work with the Marketing Manager to promote and develop wellness plan uptake and sales
  • Coordinate with clinical teams to ensure pets receive correct products in timely fashion
  • Handle client and associate feedback—escalating compliments and complaints promptly to the Client Care Manager or Nurse Manager
  • Maintain accurate, confidential records in full compliance with GDPR legislation
  • Support the Finance team with reporting and administrative tasks as directed
  • Provide additional administrative support to Marketing and Finance during busy periods

Requirements

  • Strong administrative and organisational skills with attention to detail
  • Ability to manage multiple tasks and communicate clearly across different teams
  • Experience with payment systems and record management
  • Familiarity with GDPR and confidentiality protocols
  • Comfortable working across multiple sites and liaising with diverse stakeholders (vets, nurses, clients)
  • Proficiency with standard office software and systems
