🕐 Schedule & Rota

1:4 Saturday rota (one Saturday per month). Monday–Friday standard hours 8am–7pm.

About the Role

Kentdale Referrals is seeking an experienced and organised Receptionist to join their growing client care team in Milnthorpe. This is a full-time permanent position (37.5 hours per week) working Monday to Friday, 8am–7pm, plus one Saturday per month on a 1:4 rota. You’ll be the face of the practice, managing everything from appointment scheduling to financial administration, whilst maintaining the highest standards of professionalism and customer service.

This is a pivotal role where you’ll work closely with veterinary surgeons, nursing teams, and management to ensure clients and referring veterinary practices receive exceptional service throughout their time with the hospital. You’ll be someone who stays calm under pressure, prioritises effectively, and takes pride in keeping accurate records and clear communication flowing between all stakeholders.

Key Responsibilities

  • Manage appointment bookings efficiently and proactively fill gaps in the practice diary
  • Answer and make calls to veterinary practices, insurance companies, and clients with a high level of customer service
  • Support the reception team with a range of administrative duties including clerical work related to patient care and treatment
  • Ensure paperwork is completed accurately to support the team and wider business operations
  • Handle financial administration, including following up on outstanding payments and discussing financial matters with clients as needed
  • Type reports to keep referring veterinary surgeons updated on patient progress
  • Maintain high standards of communication with referring vets and internal colleagues
  • Create a positive first impression by remaining calm, courteous, and professional with clients and visitors, regardless of circumstances
  • Demonstrate awareness of health and safety protocols and follow all practice procedures
  • Work collaboratively with clinicians, nursing teams, and management to maximise practice efficiency

Requirements

  • Diligent, organised, and professional approach to work
  • Excellent customer service skills and ability to remain calm under pressure
  • Exceptional organisational skills with the ability to prioritise and multi-task effectively
  • Confident in working independently and autonomously when required
  • High level of attention to detail
  • Practical knowledge of veterinary records, terminology, and practice procedures
  • Ability to maintain harmonious working relationships and promote collaboration
  • Professional telephone manner and communication skills (written and verbal)
