Receptionist

About the Role

As a Client Care Assistant, you’ll be the first point of contact for every client phone call and practice visit. You’re the glue that holds the team together—managing the diary, triaging emergencies, processing appointments, and delivering the warm welcome that sets the tone for their visit. This is a full-time position in Calne, Wiltshire, where you’ll work within a supportive team environment that genuinely appreciates what you bring to the practice.

You’ll need strong people skills, excellent numeracy, and experience with online appointment systems. The ideal candidate remains calm under pressure, prioritises effectively, and thrives in a collaborative setting. Previous veterinary reception experience is desirable but not essential—what matters most is your commitment to exceptional client care.

Key Responsibilities

• Greet clients on arrival, manage check-ins, and keep records up to date
• Triage emergency appointments by contacting clients and adjusting the diary as needed
• Manage the practice appointment system to optimise availability based on team skillset
• Answer client phone calls, manage voicemails, and respond to messages promptly
• Ensure online appointment slots remain available and accessible for client bookings
• Process repeat prescription requests efficiently
• Work collaboratively with the wider team to support smooth daily operations

Requirements

• Excellent reception and client-facing skills
• Good numeracy and attention to detail
• Experience using online appointment booking systems
• Ability to prioritise workload and remain calm under pressure
• Flexible, willing to learn, and committed to teamwork
• Previous veterinary receptionist experience (desirable)
