Client Care Assistant

About the Role

As a Client Care Assistant, you’ll be the first point of contact when clients call or visit the practice. This full-time permanent role sits at the heart of the practice operation—you’ll manage appointments, handle client queries, and ensure the team has the information they need to deliver excellent care. You’ll work in a supportive environment where your contribution is genuinely valued, not just tolerated.

Key Responsibilities

• Greet clients on arrival, manage check-ins, and keep patient records up to date
• Answer phones professionally and handle client messages promptly
• Triage emergency appointment requests and liaise with clients to reschedule appointments as needed
• Manage the practice appointment diary to maximize availability and match the team’s skillset
• Ensure appointment slots remain available for online booking
• Process repeat prescription requests and support the administrative flow
• Collaborate closely with reception and clinical colleagues in a team-focused environment

Requirements

• Excellent client-facing and reception skills with a genuine ability to engage with people
• Good numeracy and confidence with online appointment booking systems
• Ability to prioritize effectively and stay calm under pressure
• Flexible, willing to learn, and committed to being a supportive team member
• Previous veterinary reception experience is desirable but not essential
