About the Role

You’ll be the first point of contact for every client who walks through the door or picks up the phone—the friendly face that sets the tone for their visit. This full-time role based at the West Byfleet practice runs 40 hours per week, including some weekend and Bank Holiday cover. It’s a brilliant opportunity to blend your passion for animals with genuine customer care, managing the reception area, handling payments, and keeping the practice running smoothly behind the scenes.

You’ll work within a supportive team that values you as much as you value them, handling everything from appointment management to repeat prescriptions, always staying calm and organised even when things get hectic.

Key Responsibilities

  • Greet clients on arrival and manage the reception area to create a welcoming atmosphere
  • Answer client phone calls, manage messages, and respond to enquiries professionally
  • Triage emergency appointments by assessing impact and contacting clients to reschedule as needed
  • Manage the practice diary to optimise appointment availability based on team skillset
  • Process repeat prescription requests from clients
  • Handle payments and maintain accurate client records
  • Ensure appointment slots remain available for online booking
  • Collaborate with the wider team to support smooth daily operations

Requirements

  • Excellent reception and customer-facing skills with a naturally friendly manner
  • Ability to remain calm and organised under pressure
  • Good numeracy skills and experience with online appointment booking systems
  • A genuine love of animals and commitment to animal welfare
  • Team player mentality with flexibility and willingness to learn
  • Previous veterinary receptionist experience is desirable but not essential
