Client Care Assistant

About the Role

You’ll be the welcoming face of the practice, managing the front desk and all client interactions with warmth and professionalism. This is a part-time position working 16 hours per week, with weekend and bank holiday duties on rotation, giving you flexibility alongside your other commitments.

As the first point of contact for phone calls and visits, you’ll handle everything from warm greetings to managing the appointment diary, processing payments, and fielding repeat prescription requests. You’ll work within a supportive team where your organisational skills and genuine love of animals make a real difference to every pet and every client.

Key Responsibilities

• Greet clients on arrival and update records with accuracy and care
• Manage phone calls and messages, responding to client enquiries promptly
• Triage emergency appointments, communicating with clients and rearranging appointments as needed
• Maintain the practice diary to optimise appointment availability across the team’s skillset
• Process repeat prescription requests and handle payments
• Ensure online appointment booking slots remain available for clients
• Collaborate with colleagues in a supportive, team-focused environment

Requirements

• Excellent reception and customer-facing skills with a warm, professional manner
• Good numeracy and experience using online appointment booking systems
• Ability to remain calm under pressure and manage multiple tasks
• Flexible, organised, and willing to learn
• Genuine passion for animal welfare
• Previous veterinary receptionist experience is desirable (but not essential)
