About the Role

As a Client Care Assistant, you’ll be the first point of contact for clients visiting the practice or calling with enquiries. You’re the friendly voice that sets the tone for their experience—greeting them warmly, managing their appointments, and ensuring everything runs smoothly. Key Responsibilities

  • Greet clients on arrival and manage their check-in experience
  • Answer client phone calls promptly and professionally, managing messages and enquiries
  • Update and maintain client and patient records accurately
  • Triage emergency appointments by contacting clients and rearranging appointments as needed
  • Manage the practice diary to optimise appointment availability based on team skillset
  • Ensure online appointment booking slots are available and encourage clients to use the system
  • Process repeat prescription requests
  • Work collaboratively with reception and clinical colleagues in a supportive environment

Requirements

  • Excellent client-facing and reception skills
  • Good numeracy skills
  • Experience using online appointment booking systems
  • Ability to prioritise tasks and remain calm under pressure
  • Team player with a genuine desire to make a difference
  • Flexibility and willingness to learn
  • Previous veterinary receptionist experience (desirable but not essential)
