About the Role

You’ll be the operational glue holding together Medivet’s Newcastle and Middlesborough clinic network. Based field-side, you’ll visit each practice at least fortnightly, acting as the primary contact for Partners and Lead Vets on everything from rotas and recruitment to compliance and facilities. With a 1:6 weekend rota (including Bank Holidays), this is a full-time, hands-on position that keeps you moving between sites five days a week, solving problems as they arise and helping teams stay focused on patient care.

Key Responsibilities

  • Operational Leadership: Visit clinics fortnightly as the primary point of contact for Partners and Lead Vets; cascade communications from central team; support effective team meetings and internal communication
  • Complaints & Risk Management: Log and resolve complaints within 15 days; escalate risks, issues and opportunities to Network Partner or Director; support clinics during incidents
  • Patient Transfer Support: Facilitate smooth patient movement between hub & spoke clinics and referral centres
  • Recruitment & Onboarding: Coordinate interview scheduling, support hiring managers, ensure high-quality onboarding experiences and Branch Partner launch days
  • Rota Planning & Resource: Build and maintain clinic rotas with Network Administrator; arrange locum cover; monitor Workday dashboards daily for payroll tasks, timesheets and leave requests
  • Appointment & Diary Management: Review appointment availability and diary structures for effective scheduling across the network
  • Health & Safety & Facilities: Log and manage maintenance requests; oversee accommodation administration; ensure compliance with Medivet standards and regulatory requirements; track H&S actions to completion
  • Finance & Inventory: Approve invoices against purchase orders; review stock management processes; support stock takes and manage aged inventory requests

Requirements

  • Solid operational experience in veterinary, healthcare or multi-site service environments
  • Proven track record supporting service delivery teams across multiple locations
  • Strong organisational and planning skills with excellent attention to detail in rotas, payroll and compliance
  • Excellent communication and relationship-building ability with vets, partners and support teams
  • Confident with systems including Workday, D365, Excel and Outlook
  • Experience with rota planning, resource allocation, recruitment coordination and onboarding
  • Familiarity with Health & Safety, compliance, financial controls and inventory processes
  • Understanding of people processes and how to support teams effectively
  • Proactive, solutions-focused mindset with strong accountability and follow-through
  • Resilience and adaptability in busy, hands-on environments
  • Full UK driving licence for regular travel between clinics

About the Practice

Medivet is a large veterinary group operating clinics across the UK. This role supports the Newcastle and Middlesborough network, providing small animal and specialist services to their communities.

This role sits within Medivet’s Operations team, supporting Partners, Lead Vets and clinic staff to maintain high standards of service delivery, compliance and team wellbeing across the region. You’ll work closely with a central team and Network Administrator to ensure the network runs efficiently whilst maintaining the focus on outstanding client and patient care.
