About the Role

This is a full-time receptionist position across Oaks Veterinary Centre’s three branches in Saltcoats, Largs, and Dundonald. You’ll work 40 hours per week over four days, with a share of weekend rota duties. The role offers genuine variety—you’ll be the first point of contact for clients and their pets, handling everything from phone triage to patient records, while occasionally supporting animal handling at the Dundonald branch (full training provided). An immediate start is possible.

The practice values customer care deeply and wants clients to feel comfortable and relaxed from the moment they walk through the door. You’ll be part of a reception team of 11 across the three sites, working alongside experienced vets, nurses, and support staff who are all committed to high standards of patient and client care.

Key Responsibilities

  • Greeting clients and pets as they arrive, creating a welcoming and calm atmosphere
  • Answering and triaging emergency phone calls with clinical awareness
  • Scheduling appointments and managing the diary across three branches
  • Updating and maintaining accurate patient records
  • Dispensing medications and processing payments
  • Managing outstanding accounts and banking duties
  • Supporting with basic animal handling at Dundonald branch when needed
  • Maintaining cleanliness and professional standards across reception areas, consulting rooms, and communal spaces

Requirements

  • Passion for animals and genuine customer service experience
  • Excellent verbal and written communication skills
  • Strong organisational abilities with attention to detail
  • Proven ability to multitask in a fast-paced environment
  • Proficiency with computer systems
  • Full, clean manual driving licence (essential for transporting patients using the practice vehicle)
