Referrals Administrator

About the Role

Pride Veterinary Referral Centre is seeking a Referrals Administrator to join their team on a fixed-term contract for 12 months. This is a part-time position working 36 hours per week, Monday to Friday, 9am–5pm, offering excellent work-life balance with regular weekday hours and no weekend or out-of-hours commitments.

You’ll be the organised backbone of their referral services, managing rotas, administrative records, and pricing processes to keep this multi-disciplinary centre running smoothly. Based at their Derby site, you’ll work alongside a supportive team delivering specialist care in anaesthesia, diagnostic imaging, medicine, surgery, neurology, oncology, ophthalmology, cardiology, exotics, and dermatology.

Key Responsibilities

• Coordinate and maintain referral service rotas, ensuring accuracy and timely updates
• Process holiday and leave requests in line with practice procedures
• Support price checking and fee administration to ensure consistency across services
• Maintain accurate administrative records, spreadsheets, and databases
• Prepare documents and perform data entry for referral services team
• Liaise with internal teams to support the smooth running of referral operations
• Handle ad hoc administrative tasks as required

Requirements

• Proven administrative experience
• Strong organisational and time management skills
• High level of accuracy and attention to detail
• Competent IT skills, including Microsoft Office
• Experience in a veterinary, medical, or referral-based environment (desirable)
• Familiarity with rota management and pricing processes (desirable)
• Reliable, professional approach with strong communication and teamwork skills
• Ability to work calmly in a busy environment and adapt to changing priorities

About the Practice

Pride Veterinary Centre is a multi-disciplinary referral hospital and the central small animal hospital for the Scarsdale Veterinary group, serving referral cases from practices across the Midlands and beyond. The practice operates 24/7 with an on-site ‘vets at night’ team and boasts state-of-the-art equipment across all specialisms. They work closely with the University of Nottingham, hosting student rotations, and are part of IVC Evidensia, the largest veterinary group in Europe.
