About the Role

You’ll be the welcoming heart of Vets for Pets’ Wakefield Westgate practice, creating that crucial connection between clients, their beloved pets, and the clinical team. This part-time position offers 30 hours across four days weekly, including Saturday 9am–5pm shifts, giving you predictable scheduling with quality time to focus on what you do best: exceptional customer care.

Your days will blend face-to-face client interactions with phone calls, emails, and digital messaging—all while managing the appointment diary, processing payments, and ensuring the practice runs like clockwork. From comforting worried pet parents to celebrating first-visit excitement, you’ll handle the full emotional spectrum with calm professionalism and genuine warmth.

Key Responsibilities

  • Greet clients and pets with a warm, welcoming presence and manage their entire reception experience
  • Handle multi-channel communication: face-to-face conversations, phone enquiries, emails, and the practice’s digital messaging system
  • Manage appointment scheduling using the practice management system to keep daily operations smooth and efficient
  • Process client payments confidently and arrange future bookings
  • Scan, file, and attach documents to patient records accurately
  • Keep up-to-date with practice services and additional offerings so you can guide clients with expertise
  • Provide essential support to the clinical team, ensuring seamless day-to-day coordination

Requirements

  • Strong IT skills in Microsoft Office and general computer functions
  • Quick learner with enthusiasm for mastering new software and practice management systems (full training provided)
  • Excellent customer service instincts and genuine passion for helping people and pets
  • Calm, attentive, and able to handle diverse client needs with empathy
  • Organised approach to multi-tasking in a busy practice environment
  • Friendly, professional demeanour and ability to build strong relationships
