About the Role

Victoria Veterinary Clinic is seeking an enthusiastic Veterinary Receptionist to join their friendly team in Staple Hill, Bristol. This is a permanent position offering 29 hours per week across a structured schedule: Monday, Thursday, and Friday from 08:30–18:30, plus a 1:5 share of Saturday morning shifts (08:30–12:30). You’ll be the welcoming face of a busy first opinion practice, managing everything from appointment scheduling to client communications and ensuring every pet owner feels valued when they walk through the door.

Key Responsibilities

  • Handle incoming calls and schedule appointments efficiently using in-house practice management systems
  • Welcome and register new clients, ensuring a warm first impression
  • Respond professionally to client queries via phone, email, and in-person
  • Process insurance forms and manage related documentation
  • Dispense medications as required and handle stock management
  • Process payments accurately and manage financial transactions
  • Provide empathetic support to clients during stressful situations while maintaining professionalism
  • Manage inter-practice communication to address patient needs
  • Handle debt recovery and refund queries with sensitivity
  • Maintain accurate patient records in the practice system

Requirements

  • Previous reception experience is essential; veterinary experience is highly valued but not required
  • Strong communication skills with genuine empathy and emotional resilience
  • Excellent customer service abilities with a positive, team-oriented attitude
  • Proficiency in Microsoft Office and database systems
  • Ability to remain calm and professional under pressure
  • Right to Work in the UK (visa sponsorship is not available for this role)
