Veterinary Receptionist

About the Role

You’ll join the reception team at Woodlands Veterinary Clinic in Brockworth, working flexible evening hours that fit around your schedule. This permanent position offers 15 hours per week, working Monday–Friday from 3:00 PM to 6:00 PM with a manageable 1:6 share in the Saturday rota. You’ll be the welcoming face of the practice, handling everything from appointment scheduling to client payments while supporting the clinical team behind the scenes.

Based in the Gloucestershire area, you’ll become part of a collaborative first-opinion practice that’s committed to putting pets first. This role offers genuine variety—no two days are quite the same, and you’ll develop real skills in client communication, practice systems, and animal care support.

Key Responsibilities

• Manage incoming calls, schedule appointments, and maintain the practice diary efficiently
• Welcome and register new clients with warmth and professionalism
• Process insurance claims and manage client records accurately
• Handle payments and financial transactions with care and attention to detail
• Dispense medications as directed by the clinical team
• Respond to client enquiries via phone, email, and in-person with empathy and knowledge
• Support distressed clients during emotional situations while maintaining professional boundaries
• Manage practice systems and patient organisation efficiently
• Liaise with other practices to address client and patient queries
• Handle debt management, refund processing, and administrative follow-ups as needed

Requirements

• Previous reception experience is essential; veterinary reception experience is a bonus
• Strong communication skills and genuine empathy for clients and their pets
• Proficiency with Microsoft Office and database systems
• Resilience and composure when handling challenging or emotional interactions
• Excellent customer service mindset and ability to work effectively as part of a team
• Positive attitude and willingness to learn and develop
• Right to work in the UK (visa sponsorship is not available for this role)
