Equine Veterinary Receptionist

About the Role

As Equine Veterinary Receptionist at B&W Equine Vets, you'll be the first point of contact for clients and a key part of the day-to-day flow of the practice. The role is based at Byams Farm, Willesley, Tetbury, Gloucestershire, and offers 40 hours per week on a Monday to Friday shift pattern.

This is a 9-month fixed term contract with a varied mix of client care and administrative work. You'll be helping with calls, appointments, insurance forms, payments, patient organisation, and communication with other veterinary practices, while offering calm and empathetic support to clients during difficult moments.

Key Responsibilities

• Answer incoming calls and arrange appointments
• Respond to client queries by phone, email, and in person
• Welcome and register new clients
• Process and manage insurance forms
• Dispense medications as required
• Take payments accurately and efficiently
• Organise patients using the in-house system
• Liaise with other veterinary practices about patient needs and queries
• Handle calls about debts, belongings, and refunds
• Provide a welcoming and professional client experience at all times

Requirements

• Previous experience as a receptionist or in another demanding, client-focused role
• Veterinary setting experience is a bonus
• Strong communication skills
• Genuine empathy and resilience when handling emotional situations
• Excellent customer service skills
• A positive attitude and strong teamwork approach
• Proficiency with Microsoft Office and database systems
