Veterinary Receptionist

About the Role

This is a 30-hour permanent position based across Charter Vets' Roundswell and Mullacott locations, with a flexible shift pattern that includes Monday, Wednesday, Thursday, and Friday daytime hours, plus alternate Saturdays and Sundays. You'll be the hub of the practice, managing the flow of calls, appointments, and client interactions while ensuring every pet owner feels valued and supported.

Charter Vets is a well-established small animal practice serving the North Devon community across three sites. The team is friendly, dedicated, and collaborative, offering a supportive working environment where patient wellbeing sits at the heart of everything they do. You'll work alongside veterinary professionals delivering preventative healthcare, medical treatments, and surgical services, with the bonus of excellent continuity of care across all three locations.

Key Responsibilities

• Manage incoming calls and schedule appointments efficiently
• Greet and register new clients, ensuring a warm and welcoming first impression
• Respond to client queries via phone, email, and in-person interactions with professionalism and empathy
• Process and manage insurance forms accurately
• Dispense medications as required
• Process payments accurately and efficiently
• Provide emotional support to clients during distressing times while maintaining professionalism
• Organise patient records using the in-house system efficiently
• Liaise with other veterinary practices to address patient needs and queries
• Handle debt and refund management communications professionally

Requirements

• Previous experience as a receptionist (required)
• Experience in a veterinary setting (desirable)
• Resilience and the ability to handle emotional situations with grace
• Strong communication skills paired with genuine empathy
• Outstanding customer service experience with the public
• Positive attitude and superior teamwork abilities
• Proficiency in Microsoft Office and database systems
• Right to Work in the UK (visa sponsorship not available for this role)
