Head Receptionist

About the Role

This Head Receptionist position covers West Sussex Veterinary Centre Chichester, Felpham and Rustington. It is a full time role for 40 hours a week, with a variable shift pattern depending on whether the preferred working pattern is four longer days or five shorter 8 hour days. The practices are open from 8am to 7pm.

You will lead the receptionist team while still being hands on with day-to-day front desk work. The role brings together team support, rota planning, recruitment liaison, insurance admin and client care, so it suits someone who enjoys keeping a busy reception area organised and welcoming.

Key Responsibilities

• Manage the receptionist team, including training, support and guidance
• Create and maintain the team rota
• Support recruitment and work with the internal recruitment team
• Handle account control and debt management
• Process insurance claims and complete insurance forms
• Support the Healthy Pet Club
• Answer calls, book appointments and deal with queries by phone, in person and by email
• Register new clients and take payments
• Dispense medications
• Provide a warm and welcoming experience for clients arriving at the practice

Requirements

• Previous receptionist experience is essential
• Veterinary experience is a plus
• Resilience when dealing with potentially distressing and emotional situations
• Strong communication and empathy
• Excellent customer service skills and experience dealing with members of the public
• Positive attitude and teamwork skills
• Proficiency in Microsoft Office and other database management and operating systems
• Right to work in the UK is required
