About the Role

You’ll be the first point of contact for clients at Glenburn Vets, setting the tone for their visit and helping create a warm, professional, and caring experience. This part-time permanent role offers 25 hours per week (Monday–Friday, 5 hours daily) working alongside a supportive team of 7 vets, 4 RVNs, 3 SVNs, and 11 support staff across three clinic locations in Crumlin, Glengormley, and Lisburn.

You’ll be the backbone of the practice—managing the flow of appointments, handling enquiries, processing payments, and liaising with both clinical and administrative colleagues to keep everything running smoothly. The team is well-equipped and experienced, with vets holding specialist certifications and special interests supported to certificate level, so you’ll be working within a practice that genuinely invests in its people.

Key Responsibilities

  • Manage appointments: booking, cancelling, and changing client appointments efficiently
  • Process payments securely—cash, card, and instalment arrangements—and manage end-of-day banking procedures
  • Handle insurance claims and payment queries with accuracy and sensitivity
  • Dispense medications and prescriptions as directed
  • Keep client and patient records up to date and accurate
  • Monitor and respond to clinic emails promptly and appropriately
  • Complete daily paperwork including lab reports, consent forms, and vaccination records
  • Maintain stock levels for food, special orders, puppy packs, and client information materials
  • Manage incoming and outgoing post and liaisons with charities
  • Answer telephone calls and address client enquiries professionally and promptly
  • Actively promote Pet Healthcare Plans and pet insurance schemes
  • Keep the reception area clean, welcoming, and ready for the working day ahead
  • Attend reception team meetings as requested

Requirements

  • GCSE English and Maths at grade C and above
  • Excellent communication skills and a professional, welcoming manner
  • Experience in a customer-facing role with a strong focus on service and attention to detail
  • Ability to manage multiple tasks effectively in a busy environment
  • Collaborative approach and willingness to support colleagues
  • Proactive attitude with openness to feedback and learning

About the Practice

Glenburn Veterinary Surgeons is a three-site first opinion practice with clinics in Crumlin, Glengormley, and Lisburn, serving dogs, cats, and small pets (including exotics and rabbits). The team comprises experienced veterinarians with over 40 years’ combined experience, a vet with a certificate in surgery, and a nurse with a certificate in anaesthesia. The practice is well-equipped with ultrasound (cardiac and abdominal probes), cardiac scanning table, digital radiography, fluid pumps and warmers, patient warmers, multiparameter monitoring, electrosurgery, suction, and comprehensive orthopaedic kit including TPLO, CCWO, and MMP capabilities.
