Head Veterinary Receptionist

About the Role

Join Mandeville Veterinary Hospital in Northolt as Head Receptionist, where you'll combine hands-on front-of-house work with day-to-day team supervision. This is a full-time role of 40 hours per week, working a rotating pattern of early and late shifts, with a 1 in 5 Saturday rotation and 1 bank holiday per year.

You'll be the person helping to keep the reception area running smoothly in a busy 24-hour hospital. The role calls for someone who can stay organised, support colleagues through busy periods and help maintain a warm, professional and compassionate experience for clients and their pets.

Key Responsibilities

• Welcome clients and their pets in a warm, professional and compassionate way.
• Supervise and support the reception team in their daily work.
• Coordinate reception activity so the hospital front of house runs smoothly.
• Support colleagues with client enquiries, challenging conversations and sensitive situations.
• Liaise with clinical teams about consultation delays, appointments and patient care.
• Manage appointments, referral bookings and client communications accurately and efficiently.
• Maintain administration standards, including clinical records, payments and insurance claims.
• Support cash handling and other financial processes.
• Help ensure reception procedures are followed consistently.
• Encourage a positive and collaborative working environment.
• Look for ways to improve the client experience and reception efficiency.

Requirements

• Previous experience on a busy reception desk, ideally in a veterinary practice or hospital.
• Confidence working with people and delivering excellent customer service.
• Ability to support others in a fast-paced environment.
• Previous supervisory or team leadership experience is beneficial.
• Comfort balancing personal reception duties with supporting the wider team.
