Patient Flow Coordinator

About the Role

This is a key coordination role at Veterinary Specialists Scotland, a rapidly expanding multi-disciplinary referral centre in Livingston. You'll work full-time (40 hours per week, with occasional weekend work) as the linchpin between clinical and non-clinical teams, ensuring smooth patient flow from admission through discharge. Based in a state-of-the-art facility just 20 minutes from Edinburgh and 15 minutes from Edinburgh Airport, you'll liaise with seven clinical disciplines and help drive the practice's ambitious growth trajectory since opening in October 2020.

You'll be a culture leader and positive presence in the workplace, demonstrating the highest professional standards while motivating the nursing team to embrace core values and achieve clinical excellence.

Key Responsibilities

• Coordinate all veterinary procedures and patient movements across services, ensuring admission and treatment plans are completed efficiently and on time
• Design and refine systems for patient flow to improve hospital efficiency, reviewing and adjusting protocols as needed
• Act as a liaison between the nursing team and all other teams within the practice and wider group to maintain effective communication
• Provide clinical governance oversight, identify areas affecting patient flow, perform audits, and recommend improvements and training
• Encourage reporting of critical incidents via Halo and support the veterinary team with encouragement and assistance
• Promote practice and group policies and demonstrate understanding of staff motivation and team working
• Lead by example, exhibiting awareness of and adherence to core values at all times

Requirements

• Registered Veterinary Nurse (RCVS registered) or equivalent professional with experience in a similar medical setting
• 3+ years in clinical veterinary practice
• 1-2 years' experience in a multi-disciplinary hospital environment
• Excellent written and verbal communication skills in English
• Ability to communicate effectively with large teams
• Excellent time management, prioritisation and organisational skills
• Proficiency with word-processing programs and Excel or other data management systems
• Ability to remain calm under pressure and solve problems proactively
• Quick learner capable of adapting to dynamic environments

About the Practice

Veterinary Specialists Scotland is a purpose-built, rapidly expanding multi-disciplinary referral centre located in Livingston, strategically positioned 20 minutes from Edinburgh, 40 minutes from Glasgow, and 15 minutes from Edinburgh Airport.
