Client Care Assistant

About the Role

At Medivet Bisley, you'll be the first point of contact for clients calling and visiting the practice. This full-time role involves greeting clients in person and over the phone, managing the appointment diary, handling queries with confidence, and creating a calm, organised reception area where clients and their pets feel supported. You'll work one in four Saturdays supporting the Guildford practice as well.

Key Responsibilities

• Be the first point of contact for clients, offering a warm, professional welcome both in person and over the phone
• Manage appointments efficiently, including booking, rescheduling, and supporting the smooth flow of the day for the clinical team
• Handle client queries with confidence, providing accurate information or directing them to the appropriate team member
• Maintain a calm, organised reception area, ensuring clients and their pets feel comfortable and supported
• Process payments and insurance claims accurately, following Medivet procedures
• Support the clinical team by preparing paperwork, updating client records, and ensuring all information is captured correctly
• Assist with administrative tasks, including email correspondence, stock checks, and maintaining practice documentation
• Promote Medivet services and preventative healthcare, helping clients make informed decisions about their pets' wellbeing
• Contribute to a positive team culture, communicating clearly and working collaboratively with colleagues across the practice
• Support the Guildford practice on weekends, working one in four Saturdays

Requirements

• Excellent client-facing and reception skills with a confident communication style
• Good numeracy skills and experience using online appointment booking systems
• Ability to prioritise, remain calm under pressure, and stay flexible and willing to learn
• Previous veterinary receptionist experience is desirable but not essential
