Weekend Veterinary Receptionist

About the Role

This is a weekend-only reception position at MiNight Carmarthen, a CVS Vets practice providing out-of-hours care in Carmarthenshire. You’ll work every Saturday and Sunday from 08:30 to 17:00 (with a 30-minute lunch break), giving you flexibility during the week. The role sits at the front line of client care—managing calls, greeting clients, processing payments, and providing the empathy that matters when pet owners are worried about their animals.

You’ll be part of a collaborative team where your communication skills and genuine care for both pets and people make a real difference. Whether handling insurance queries, dispensing medications, or simply making sure clients feel welcome, you’ll support the practice’s mission to put pets first.

Key Responsibilities

• Answer incoming calls, schedule appointments, and manage client inquiries via phone, email, and in-person
• Register new clients and provide a warm, professional reception experience
• Process insurance forms and manage client payments accurately
• Dispense medications as directed and handle stock management in the dispensary
• Use the in-house patient management system to organise and track patient records efficiently
• Liaise with other veterinary practices to address patient care needs and follow-up queries
• Handle debt and refund-related phone calls with professionalism and sensitivity
• Provide emotional support to clients during stressful situations while maintaining professional boundaries

Requirements

• Previous reception experience is essential; veterinary reception experience is highly valued
• Strong communication skills and genuine empathy for clients and pets
• Proficiency in Microsoft Office and database systems
• Resilience and ability to remain calm when handling emotionally charged situations
• Outstanding customer service orientation and proven teamwork abilities
• Right to work in the UK (visa sponsorship is not available for this role)
