About the Role
You'll step into a leadership position as Head Receptionist across Highcroft's three sites in Eastville, Shirehampton, and Ashton. Working 39.13 hours per week on a four-day rota (8.30am to 6.30pm) plus one Saturday in four (8.30am to 1pm), you'll be the face of the practice and the anchor of the reception team.
This is a chance to shape client experience while building and developing a dedicated team. You'll balance hands-on reception duties with leadership responsibilities, creating systems that keep the practice running smoothly and fostering a welcoming environment where both clients and pets feel valued.
Key Responsibilities
- Lead, motivate and support the reception team across all three sites
- Train, develop and onboard new reception staff
- Create and manage reception rotas
- Support recruitment activities and liaise with the central recruitment team
- Manage account control and debt collection processes
- Oversee insurance claims administration
- Manage and promote the Healthy Pet Club
- Maintain efficient reception processes and high service standards
- Answer telephone enquiries and book appointments
- Welcome clients and their pets to the practice
- Register new clients and maintain accurate records
- Process insurance documentation and handle financial transactions
- Dispense medications in line with practice procedures
Requirements
- Previous reception experience (veterinary experience is advantageous but not essential)
- Proven experience supervising, supporting or leading a team
- Excellent communication and interpersonal skills
- Strong customer service background with a professional and empathetic approach
- Ability to remain calm and resilient in emotional or challenging situations
- Strong organisational and administrative skills
- Good IT skills, including Microsoft Office and database systems
- Positive attitude and ability to work collaboratively as part of a team
