Veterinary Receptionist

About the Role

This is a 6-month fixed-term position working 30 hours per week across four days (Monday to Friday), with shifts running 08:15 to 18:00 and a 1:5 share in Saturday morning cover from 08:15 to 12:15. You'll be the welcoming face of Towy Veterinary Centre, managing the flow of calls, appointments, and client interactions whilst ensuring every visitor feels valued from the moment they arrive.

Key Responsibilities

• Answer incoming calls and schedule appointments efficiently
• Respond to client queries via phone, email, and face-to-face with professionalism and warmth
• Greet and register new clients, creating a positive first impression
• Process and manage insurance forms accurately
• Dispense medications as required
• Process payments and handle financial transactions
• Provide empathetic support to clients during distressing times whilst maintaining professionalism
• Organise and manage patient records using the in-house system
• Liaise with other veterinary practices to address patient needs
• Make phone calls regarding outstanding debts, client belongings, and refunds
• Ensure every client feels welcomed and valued at the practice

Requirements

• Previous reception experience or proven background in a demanding, client-facing role
• Veterinary reception experience is desirable but not essential
• Resilience and ability to handle emotional situations with kindness
• Strong communication skills with genuine empathy for clients
• Outstanding customer service experience and comfort working with the public
• Positive attitude and strong teamwork abilities
• Proficiency in Microsoft Office and database systems
• Right to Work in the UK (visa sponsorship not available for this role)
