Patient Flow Coordinator

About the Role

You'll take on a pivotal position at Veterinary Specialists Scotland, working at the heart of a fast-growing specialist referral hospital. This permanent, full-time role sits at the intersection of clinical excellence and operational efficiency, coordinating patient flow from admission through discharge while supporting and motivating the nursing team. Based in Livingston, you'll work alongside an exceptional group of specialists in a state-of-the-art facility, managing a diverse and complex caseload across seven clinical disciplines.

This is a daytime role with occasional weekend work as required, offering you stability and predictability while contributing to a dynamic, expanding service.

Key Responsibilities

• Lead by example as a Culture Leader, embodying core values and maintaining a positive workplace presence
• Coordinate patient movements and veterinary procedures across all services, ensuring admission and treatment plans are completed efficiently and on time
• Design and implement systems to improve patient flow throughout the hospital, reviewing and adjusting protocols as necessary
• Liaise between the nursing team and all other departments to maintain effective communication channels
• Identify operational bottlenecks affecting patient flow, conduct clinical audits, and recommend improvements with supporting training
• Recognise when team members need assistance and provide active support and encouragement
• Promote practice and group policies, demonstrating the highest professional standards at all times
• Encourage incident reporting via the practice management system and contribute to clinical governance

Requirements

• RCVS registered veterinary nurse or experienced and confident veterinary patient care assistant
• 3+ years working in clinical veterinary practice
• 1 to 2 years' experience in a multi-disciplinary hospital environment
• Excellent written and verbal communication skills in English
• Proficiency with word-processing programs and Excel or similar data management tools
• Strong time management, prioritisation and organisational abilities
• Ability to remain calm under pressure and solve problems effectively
• Confident in communicating with and giving clear direction to larger teams
• Quick learner, able to adapt to a dynamic environment

About the Practice

Veterinary Specialists Scotland is a purpose-built, rapidly expanding multi-disciplinary referral centre that opened in October 2020. Since launch, the service has grown from 8 to 20 specialists and residency-trained clinicians across seven clinical disciplines, with significant scope for continued expansion. The modern facility is ideally located in Livingston, just 20 minutes from Edinburgh, 40 minutes from Glasgow, and 15 minutes from Edinburgh Airport.
