Patient Flow Coordinator

About the Role

This is a key coordinator position at Veterinary Specialists Scotland, a state-of-the-art multi-disciplinary referral centre in Livingston. You'll work full-time (40 hours per week) alongside clinical and non-clinical teams to ensure smooth patient flow from admission to discharge, promoting excellent staff morale and driving the practice's core values across the entire nursing team.

The practice is conveniently located just 20 minutes from Edinburgh, 40 minutes from Glasgow, and 15 minutes from Edinburgh Airport, making it an accessible location for professionals across central Scotland. Since opening in October 2020, the team has grown to include 20 specialists and residency-trained clinicians across seven clinical disciplines, creating an exciting environment to shape the future of specialist veterinary services.

Key Responsibilities

• Serve as a culture leader, demonstrating adherence to core values and maintaining a positive workplace presence
• Liaise between nursing and all other practice teams to ensure effective communication at all times
• Lead by example and model the highest professional standards across the hospital
• Coordinate veterinary procedures and patient movements across all services, ensuring admission and treatment plans are completed efficiently and on time
• Create systems to improve patient flow efficiency within the hospital, reviewing and adjusting as necessary
• Identify areas affecting patient flow that are problematic and perform audits to highlight training and improvement opportunities
• Encourage reporting of critical incidents via the Halo system
• Recognise when team members need support and act on this proactively
• Promote practice and group policies and guidelines consistently

Requirements

• Registered Veterinary Nurse (RCVS registered) or experienced and confident veterinary patient care assistant
• 3+ years' experience in clinical veterinary practice
• 1-2 years' experience in a multi-disciplinary hospital setting
• Experience communicating with large teams
• Excellent written and verbal communication skills in English
• Excellent time management, prioritisation and organisational skills
• Ability to remain calm under pressure and solve problems effectively
• Confident and able to give clear authority
• Proficient with word-processing programmes and Excel or similar data sheets
• Quick learner who can adapt to a dynamic environment
• Highly organised and motivated individual
