Client Care Assistant

About the Role

This is a full-time permanent position based at Medivet Bisley, where you'll be the first point of contact for clients visiting the practice or calling for help. You'll manage the reception area with warmth and efficiency, handling everything from appointment bookings to client queries. With 1-in-4 Saturday shifts supporting the nearby Guildford practice, you'll become an integral part of a supportive team that values collaboration and clear communication.

The practice serves small animal, mixed animal, and exotic patients from a hospital setting. Your role sits at the intersection of excellent customer care and clinical support, ensuring the team can focus on delivering outstanding veterinary care while you create a welcoming first impression.

Key Responsibilities

• Greet clients on arrival and over the phone with professionalism and warmth, managing their first impression of the practice
• Book, reschedule, and manage appointments efficiently to optimise the clinical team's workflow and maintain online availability
• Answer client queries with confidence, directing complex issues to the appropriate team member
• Maintain an organised, calm reception area where clients and their pets feel comfortable and supported
• Process payments and insurance claims accurately, following Medivet procedures
• Support clinical staff by preparing paperwork, updating client records, and triaging emergency appointments
• Manage repeat prescription requests and handle email correspondence
• Promote Medivet services and preventative healthcare, helping clients make informed decisions
• Work collaboratively across the practice, prioritising tasks effectively and remaining calm under pressure

Requirements

• Excellent reception and client-facing communication skills
• Proficiency with online appointment booking systems
• Good numeracy skills for payment and insurance processing
• Ability to prioritise, remain calm under pressure, and work flexibly
• Team player with a genuine passion for helping people and pets
• Previous veterinary receptionist experience is desirable but not essential
• Willingness to work 1-in-4 Saturday shifts at Guildford practice
