About the Role

We have an exciting opportunity for a Veterinary Receptionist (Client Care Assistant) to join our lovely team at Medivet North Oxford. You’ll be the heart of the reception team, managing everything from the moment clients walk through the door to the final goodbye. This is a full-time position working 40 hours per week, Monday to Friday. Shifts typically alternating between 8.30am – 5.30pm and 11.00am – 7.30pm with 1 in 6 weekends required. It’s a busy, varied role that demands excellent organisational skills and genuine warmth with people and animals alike.

You don’t need hands-on veterinary experience to excel here—what matters is your love of animal welfare, your ability to stay calm under pressure, and your talent for making clients feel heard. You’ll support a team of veterinary surgeons, nurses, and patient care assistants, and your contribution directly impacts the experience every client has with the practice.

Key Responsibilities

  • Welcome clients and pets on arrival, manage check-ins, and keep patient records up to date
  • Handle incoming calls, manage messages, and respond to client enquiries promptly
  • Arrange and reschedule appointments, triaging emergency slots to balance workload and clinical expertise
  • Process repeat prescription requests and handle payments accurately
  • Maintain the practice’s online appointment booking system to maximise availability
  • Ensure reception and waiting areas are welcoming, clean, and well-stocked
  • Work collaboratively with the wider practice team to deliver excellent patient and client care

Requirements

  • Excellent customer service and communication skills with genuine warmth and professionalism
  • Strong numeracy and IT skills, with experience using online appointment booking systems
  • Ability to prioritise, remain calm under pressure, and work flexibly in a fast-paced environment
  • Genuine love of animals and their welfare
  • Previous veterinary reception experience is desirable but not essential
  • Team player with a willingness to learn and grow
