About the Role
You'll be the operational backbone of Medivet's clinic network, working field-based across multiple locations (5 days a week from clinics, with a 1-in-6 weekend rota). This is a hands-on role where you'll act as the primary liaison between head office and clinic teams, solving problems before they escalate and keeping operations running smoothly across hubs, spokes, and referral centres.
There's no direct line management here—instead, you'll partner with Partners, Lead Vets, and the Network Administrator to coordinate everything from rotas and recruitment to compliance and maintenance. You'll visit each clinic fortnightly, champion operational excellence, and ensure that clinical teams have the support they need to focus on what they do best: caring for animals.
Key Responsibilities
- Visit assigned clinics fortnightly, providing day-to-day operational support and escalating risks or opportunities to Network Partners and Directors
- Manage and maintain clinic rotas 6 months in advance, ensuring full coverage and coordinating locum support as needed
- Coordinate recruitment, interviews, and onboarding across multiple clinics, supporting new starters' integration
- Process leave requests, absences, and payroll submissions via Workday; approve overtime and cross-branch working arrangements
- Support complaint resolution, ensuring clinics resolve issues within 15 days and hold effective team meetings
- Oversee Health & Safety compliance across all clinics: radiation/laser safety, risk assessments, fire safety, accident reporting, water audits, and H&S policies
- Manage maintenance requests, accommodation administration, and incident/crisis support
- Review stock management and approve invoices against purchase orders on D365; support stock take approval
- Facilitate transfers between hub, spoke, and referral centres; cascade communications from head office to clinics
Requirements
- 3+ years' experience in operations, field management, or multi-site coordination
- Proven experience supporting service delivery teams across multiple locations
- GCSEs (or equivalent) in English and Maths (essential)
- Full UK driving licence (required for field-based travel)
- Strong organisational and planning skills; ability to manage multiple clinics effectively
- Excellent communication and relationship-building skills with Partners, Lead Vets, and support teams
- High attention to detail in rotas, payroll, and compliance documentation
- Confident with operational systems: Workday, D365, MS Excel, Outlook
- Proactive problem-solving and decision-making with strong accountability
- Solid understanding of operational delivery in veterinary, healthcare, or multi-site service environments
- Knowledge of clinical operations: rota planning, resource allocation, recruitment, onboarding
- Familiarity with Health & Safety and compliance processes
- Awareness of financial and inventory control processes
