About the Role

You’ll be joining Pool House Veterinary Hospital as a receptionist in a busy, friendly small animal practice that’s been serving the community for years. This part-time position (30 hours per week) offers genuine variety—from managing phone triage and client payments to handling appointments and patient administration. The role is based across all four Pool House branches, so you’ll gain experience in different environments and build relationships with diverse teams. Shifts are split across five days, typically between 7:30am and 7:30pm Monday to Friday, with weekend and bank holiday rotas to share the workload fairly.

You’ll thrive in fast-paced environments and juggle multiple tasks without losing your cool. Strong communication skills are essential, both with clients over the phone and with colleagues on the clinical team—your efficiency directly impacts how smoothly the practice runs.

Key Responsibilities

  • Answer phones and perform patient triage to direct enquiries appropriately
  • Manage client accounts and process payments (phone and desk-based)
  • Book appointments and maintain scheduling accuracy across four branches
  • Handle daily cash reconciliation and banking procedures
  • Transfer and manage patient medical histories
  • Maintain cleanliness and organisation of surgery waiting rooms
  • Dispense and label medications as required
  • Provide consistent, professional customer service during busy periods
  • Work flexibly across the practice’s rota system, including weekends and bank holidays

Requirements

  • Efficient multitasker comfortable in fast-paced environments
  • Excellent telephone manner and communication skills
  • Administrative or clerical experience is advantageous but not essential—full training provided
  • Ability to manage busy client interactions with professionalism and patience
  • Willingness to work across multiple branches and flexibility for weekend/bank holiday cover
  • Strong teamwork and collaborative approach to practice operations
