About the Role
You'll be the friendly face and voice of Vets4Pets Newbury, greeting clients in person and over the phone while coordinating seamless communication between pet owners and the clinical team. Based in a modern, purpose-built practice in Newbury, Berkshire, this is a role where your administrative expertise directly supports excellent patient care. The practice runs a 1-in-4 weekend rota, and full-time positions work 40 hours per week.
You'll work alongside three receptionists (including a Reception Manager), five RVNs (including a Nursing Manager), three student nurses, six vets (including three Practice Partners), and a dedicated Practice Manager. It's a well-resourced, balanced team where everyone contributes to a positive working environment.
Key Responsibilities
- Deliver outstanding customer service and coordinate clear communication between clients and the clinical team
- Greet clients warmly in person and answer phones, managing emails and WhatsApp enquiries
- Book appointments, process prescription orders, take payments, and maintain accurate client and patient records on the practice management system
- Handle administrative tasks including scanning paperwork for hospitalised patients, processing insurance claims, registering microchips, and daily cashing-up reports
- Keep the reception area tidy, welcoming, and organised, including updating notice boards regularly
- Discuss and promote the practice's Complete Care Plan packages to support pet wellness
- Coordinate day-to-day practice routines using the online booking system, demonstrating strong computer literacy and organisational skills
- Work with initiative and reliability in a fast-paced team environment
Requirements
- Strong customer service skills and a warm, friendly demeanour
- Computer literacy and confidence with practice management systems
- Excellent administrative and organisational abilities
- Ability to thrive in a team and show initiative in a busy setting
- Willingness to participate in the weekend rota (currently 1 in 4)
- Passion for animals and working in veterinary practice (experience not essential)
