About the Role

City Vets is seeking an enthusiastic and compassionate receptionist to join its friendly, forward-thinking team across four Exeter locations. You’ll be based primarily at the Whipton branch with occasional work across the wider practice. This is a part-time role working 22.35 hours per week with a weekend rota of 1 in 8 Saturdays and 1 in 16 Sundays (Sundays paid at 1.5x).

You’ll be the welcoming face of the practice, working closely with the Client Care Manager to deliver an outstanding experience for clients and their pets. City Vets are RCVS-accredited with state-of-the-art facilities including an onsite CT scanner, and their Heavitree site holds the only Gold Standard Rabbit Welfare Association & Fund certificate in the south-west. The practice partners with charities including Cat Protection League, RSPCA, and Guide Dogs, so every day brings variety and genuine purpose.

Key Responsibilities

  • Greet clients and pets with a friendly, helpful manner
  • Manage appointment diary and scheduling across the four sites
  • Maintain accurate client records in compliance with data protection regulations
  • Process payments in various forms
  • Handle repeat medication requests
  • Communicate with clients, colleagues, and the wider business via face-to-face contact, email, and telephone
  • Maintain organisation and hygiene standards throughout reception areas
  • Support day-to-day administrative duties

Requirements

  • Caring, confident, and mature approach to client and patient care
  • Excellent customer service skills and friendly demeanor
  • Ability to maintain a positive attitude in a busy multi-site environment
  • Strong organisational and communication abilities
  • Proficiency with administrative tasks and basic IT systems
