About the Role

Highcroft Veterinary Centre in Frome is seeking a friendly, organised Receptionist to join their small animal team on a part-time basis. Working 24 hours per week across Monday, Tuesday, and a 1:2 Saturday rota, you’ll be the first point of contact for pet owners and clients, creating a warm, welcoming atmosphere from the moment they walk through the door.

This is a permanent position offering genuine work-life balance without the full-time commitment. Key Responsibilities

  • Answer incoming calls and schedule appointments efficiently, keeping the clinic running smoothly
  • Welcome new and existing clients in person, ensuring they feel valued and cared for from arrival
  • Process client inquiries via phone, email, and face-to-face interactions with professionalism and empathy
  • Register new clients and manage their information using the in-house system
  • Handle insurance forms and process insurance claims accurately
  • Process payments and manage financial transactions with precision
  • Dispense medications as required by the veterinary team
  • Provide emotional support to clients during distressing situations, balancing compassion with professionalism
  • Liaise between the practice and other veterinary clinics to address patient needs
  • Manage debt recovery and refund processes, including necessary follow-up calls

Requirements

  • Previous experience as a Receptionist is a must; experience in a veterinary setting is a bonus!
  • Strong communication skills and genuine empathy for both clients and animals
  • Ability to handle emotional or challenging situations with grace and resilience
  • Excellent customer service background and experience working with the public
  • Positive attitude and strong teamwork abilities
  • Proficiency in Microsoft Office and database systems
  • Right to work in the UK (visa sponsorship is not available for this role)
