About the Role

You’ll be the key liaison keeping day-to-day clinic operations running smoothly across Medivet’s Epsom and Guildford network. Working field-based from the clinics five days a week, you’ll be the primary point of contact for Partners and Lead Vets, handling everything from rotas and recruitment to compliance and maintenance—all while supporting the network to maintain operational excellence.

This is a manager-level role that doesn’t involve direct line management, but instead focuses on proactive support and coordination. You’ll visit each clinic fortnightly, work closely with the Network Administrator and wider network team, and share weekend cover on a 1 in 6 rota to ensure the 24-hour clinics are always supported.

Key Responsibilities

  • Act as the primary operational contact for assigned clinics, visiting at least fortnightly to support Partners and Lead Vets with day-to-day queries and escalating issues as needed
  • Manage clinic rotas six months in advance, create schedule changes, arrange locum cover, and ensure full staffing across hub and spoke locations
  • Coordinate recruitment, interviews, and onboarding for new team members, including BP launch days and training coordination
  • Track leave requests, process timesheets, approve overtime, and maintain accurate payroll submissions through Workday
  • Monitor and resolve complaints within 15 days, ensure team meetings cover critical topics, and support effective communication across clinics
  • Oversee Health & Safety compliance including radiation safety, risk assessments, fire safety, accident reporting, and water audits across all clinics
  • Log and manage maintenance requests, support clinics during incidents, and oversee accommodation administration
  • Approve invoices, review stock management, and support stocktake and inventory control processes
  • Support transfers between hub and spoke clinics and referral centres, ensuring smooth operational flow

Requirements

  • 3+ years’ experience in operations, field management, or multi-site coordination (ideally in veterinary, healthcare, or similar service environments)
  • Proven experience supporting service delivery teams across multiple locations
  • Strong organisational and planning skills, with ability to manage multiple clinics effectively
  • Excellent communication and relationship-building abilities with Partners, Lead Vets, and support teams
  • High attention to detail in rotas, payroll, and compliance documentation
  • Confidence using operational systems: Workday, D365, MS Excel, and Outlook
  • Proactive problem-solving, decision-making, and strong accountability
  • Resilient and adaptable in a fast-paced, field-based environment
  • Working knowledge of Health & Safety, compliance, and financial/inventory control processes
  • GCSEs (or equivalent) in English and Maths (essential)
  • Full UK driving licence required for field-based travel
