Operations Support Manager

About the Role

You'll be the day-to-day operational hub for Medivet's multi-clinic network, working field-based from Watford with visits to assigned clinics at least fortnightly. This is a role with real scope: you'll drive operational excellence, coordinate recruitment, manage rotas across multiple sites, and ensure compliance—all without direct line management responsibility. Think of yourself as the glue holding the network together, supporting Partners and Lead Vets with the practical systems and forward planning they need to run smoothly. With a 1:6 weekend rota (roughly one in six weekends), you'll be part of the on-call cover ensuring the network has weekend support when needed. This is genuinely shared responsibility across the ops team, not a constant burden.

Key Responsibilities

• Visit each assigned clinic fortnightly, acting as the primary contact for operational queries from Partners and Lead Vets, escalating strategically to the Network Partner and Director
• Maintain clinic rotas 6 months in advance in collaboration with the Network Administrator, managing changes and arranging locum cover as needed
• Coordinate recruitment, interview scheduling, and onboarding for new starters, ensuring smooth handovers and excellent first experiences
• Track leave requests, absences, and payroll submissions via Workday, ensuring accurate timekeeping and overtime approval
• Monitor Health & Safety compliance across all clinics (radiation safety, risk assessments, fire safety, incident reporting, water safety audits)
• Support clinic teams in managing complaints, resolving them within 15 days, and ensuring effective team communication
• Oversee maintenance logging, facility issues, and crisis support; approve invoices against purchase orders
• Review stock management, approve stock takes, and manage inventory processes in line with Medivet guidelines
• Ensure transfers between hub, spoke, and referral centres are managed effectively

Requirements

• 3+ years' experience in operations, field management, or multi-site coordination (in veterinary, healthcare, or similar service environments)
• Proven track record supporting service delivery teams across multiple locations
• Strong organisational and planning skills; confident managing multiple clinics simultaneously
• Excellent communication and relationship-building with clinicians, practice managers, and support teams
• High attention to detail in rotas, payroll, compliance, and financial records
• Proficient with Workday, D365, MS Excel, and Outlook
• Proactive problem-solver with strong accountability and resilience in a fast-paced environment
• Solid understanding of veterinary operations: rota planning, recruitment, onboarding, H&S, and people processes
• GCSEs (or equivalent) in English and Maths (essential)
• Full UK driving licence required for field-based travel
