Client Care Assistant

About the Role

As a Client Care Assistant (CCA), you’ll be the first point of contact for clients calling or visiting the practice—the person who sets the tone for their entire experience. This is a full-time role based in Wickford, where you’ll combine phone skills, organisational flair, and genuine warmth to support both clients and the wider veterinary team.

You’ll manage appointment scheduling, handle client enquiries, triage emergency appointments, and keep the practice running like clockwork. It’s a busy, people-focused role that rewards those who stay calm under pressure and genuinely enjoy helping others.

Key Responsibilities

• Greet clients on arrival and maintain accurate practice records
• Answer client phone calls professionally and manage messages promptly
• Assess and triage emergency appointments, contacting clients to rearrange if needed
• Manage the practice diary to optimise appointment availability around team expertise
• Ensure online appointment booking slots are kept available for client self-service
• Process repeat prescription requests
• Work collaboratively within a supportive veterinary team

Requirements

• Excellent client-facing and reception skills with a calm, friendly manner
• Ability to prioritise and manage multiple tasks under pressure
• Good numeracy skills and experience with online appointment booking systems
• Flexible, willing to learn, and genuinely team-minded
• Previous veterinary reception experience (desirable but not essential)
