About the Role

You’ll be the first point of contact for clients—both on the phone and at the desk—setting the tone for their experience at the practice. This is a full-time role where you’ll manage the flow of the day: greeting clients warmly, triaging emergencies, optimizing the appointment diary, and keeping everything running smoothly. Based in Worthing, West Sussex, you’ll work within a supportive team that genuinely values what you bring to the practice.

Your role sits at the heart of client care and internal coordination. You’ll use online appointment systems to manage availability, handle repeat prescription requests, and work collaboratively with veterinary and nursing colleagues to ensure the practice runs efficiently. This is a role where calm under pressure, flexibility, and excellent people skills make a real difference.

Key Responsibilities

  • Greet clients on arrival, maintain welcoming reception standards, and update client records accurately
  • Triage emergency appointments: contact clients to assess urgency and reschedule routine slots as needed
  • Manage the practice diary to maximize appointment availability and match demand to team skillset
  • Answer client phone calls promptly and manage messages professionally
  • Maintain and open appointment slots in the online booking system for client self-service
  • Process repeat prescription order requests and coordinate with the practice team
  • Work collaboratively within a supportive team environment

Requirements

  • Excellent reception and client-facing skills with genuine warmth and professionalism
  • Good numeracy and competence with online appointment booking systems
  • Ability to prioritize, stay calm under pressure, and remain flexible
  • Team player mentality with a genuine desire to support colleagues and clients
  • Willingness to learn and develop in role
  • Previous veterinary reception experience is desirable but not essential
