Veterinary Receptionist

About the Role

Ruddington Veterinary Centre in Clifton is seeking an experienced receptionist to join the team for a 5-month fixed-term contract. Working Monday to Friday with shifts between 08:15 and 19:00, plus a share of Saturday mornings (09:00–14:00), you’ll be at the heart of client care and practice operations. This is a fast-paced role where communication, empathy, and organisation are essential—you’ll be the first point of contact for pet owners, often during stressful moments, and your professionalism can make all the difference to their experience.

Key Responsibilities

• Manage incoming calls and schedule appointments efficiently
• Greet and register new clients, ensuring a warm welcome
• Respond to queries via phone, email, and in-person with professionalism
• Process and manage insurance forms accurately
• Dispense medications as required
• Process payments and handle financial transactions
• Organise patient records using the in-house system
• Liaise with other veterinary practices to address patient needs
• Handle debt and refund management via phone calls
• Provide empathy and emotional support to clients during distressing situations while maintaining professionalism

Requirements

• Previous reception experience is essential; veterinary reception experience is a bonus
• Strong communication skills with genuine empathy
• Resilience and ability to handle emotional situations with grace
• Outstanding customer service skills and experience working with the public
• Positive attitude and excellent teamwork abilities
• Proficiency in Microsoft Office and database systems
• Right to work in the UK (visa sponsorship is not available for this role)
