Reception Manager

About the Role

This Reception Manager role is based at a thriving Vets for Pets practice in Swansea, where the team is focused on delivering outstanding care to clients and their pets. You’ll oversee the reception team, manage your own admin work and act as a link between clients and the clinical team.

The role is full time, 40 hours per week, and includes Saturdays on a rota basis. It suits someone who is open, friendly, organised and confident managing busy front-of-house priorities while helping to maintain a positive client experience.

Key Responsibilities

• Oversee the reception team and make sure daily tasks are completed in a timely way.
• Handle your own administrative duties while maintaining a high level of customer service.
• Act as a link between clients and the clinical team.
• Greet clients, offer support and guidance, and manage payments and future bookings.
• Work closely with practice owners to implement management decisions.
• Keep the front of house fully staffed, efficient and presentable.
• Train colleagues with a focus on professional, gold standard customer service.
• Support rota planning and diary management.
• Help improve the client and patient journey using feedback sources such as Reputations, Google reviews and social media.
• Support the Client Experience Manager with hospital inspections, complaint handling and client care standards.
• Maintain product knowledge and advise on products where appropriate.
• Follow company policies and procedures and help with financial controls at the front of house.
• Support bereavement conversations with physical and emotional assistance for clients when needed.
• Help create a positive, fulfilling place to work and encourage the team to reach their potential.

• You should be confident managing payments, bookings and front-of-house responsibilities.
• You should be able to work Saturdays on a rota basis.
