Receptionist

About the Role

This is a part-time fixed term position offering 26.75 hours per week with potential for additional Saturday shifts. You'll work Monday, Wednesday, Thursday, and Friday, with one day allocated to the Overton branch. The role encompasses a dynamic mix of front-desk duties, client care, and administrative support, requiring genuine multitasking ability and a passion for delivering exceptional service to pet owners during both routine visits and emotionally challenging moments.

You'll be part of Mildmay Veterinary Hospital, a three-practice network spanning Winchester, Overton, and Chandlers Ford. This is no small operation: with 24/7 in-house care and a reputation for excellence, you'll work within a supportive environment that values both animal welfare and client satisfaction.

Key Responsibilities

• Handle incoming calls and schedule appointments with efficiency
• Greet and register new clients, creating a warm first impression
• Respond to client queries via phone, email, and in-person interactions
• Process and manage insurance forms accurately
• Dispense medications as required
• Process financial transactions and manage payments
• Provide empathy and emotional support to clients during distressing situations while maintaining professionalism
• Organise patient records using the in-house system efficiently
• Liaise with other practices within the network to address patient needs
• Manage debt, refund, and belongings-related communication
• Ensure every client feels welcomed and valued

Requirements

• Previous receptionist experience is essential; veterinary experience is desirable
• Resilience and ability to handle emotionally sensitive situations with grace
• Strong communication skills paired with genuine empathy
• Excellent customer service experience and public-facing skills
• Positive attitude and proven teamwork abilities
• Proficiency in Microsoft Office and database systems
• Right to work in the UK (visa sponsorship not available for this role)
