Veterinary Receptionist

About the Role

You'll be the first point of contact for clients and their pets at DWR Veterinary Specialists, one of Europe's largest specialist veterinary referral centres. This full-time reception role offers two flexible shift patterns: Monday to Friday rotating 8am-4pm and 11am-7pm with one weekend in four (9am-5pm), or Tuesday to Friday 8am-7pm rotating shifts plus Saturday 9am-5pm. You'll choose your preference at application.

Working alongside vets, physiotherapists, nurses and the case management team, you'll manage client interactions, process payments and insurance queries, field appointments from referring practices, and maintain clinical records using practice management software. This is a role where you directly influence client satisfaction and practice operations at a state-of-the-art facility.

Key Responsibilities

• Greet clients and their pets warmly on arrival and manage the waiting area experience
• Communicate appointment details, client queries and patient updates directly with clinical staff
• Explain account status to clients, process payments, issue invoices and discuss insurance queries
• Arrange routine and emergency appointments from referring primary care practices
• Handle phone and electronic enquiries from clients, referring vets and colleagues
• Collaborate closely with the Case Management Team on client account management
• Maintain accurate patient clinical records using the practice management system

Requirements

• Customer service experience (veterinary or healthcare preferred but not essential)
• Strong communication skills, both written and verbal
• Ability to work flexibly across weekdays, evenings and weekends as per rota
• Professional, calm manner with clients and pets
• Proficiency with practice management software (training provided)
