About the Role
This is a fixed-term, full-time receptionist position based at CVS Vets Carmarthen. You'll work 40 hours per week on a flexible shift pattern between 8am and 7pm, with a share of weekend cover. As the front-facing member of the team, you'll be the first point of contact for clients and their pets, managing everything from appointment scheduling to client care with warmth and professionalism.
You'll be part of CVS Group, one of the UK's leading veterinary organisations with a network of over 500 practices and more than 8,000 professionals. This is a small animal practice focused on delivering excellent patient care and client service.
Key Responsibilities
- Handle incoming calls and schedule appointments efficiently
- Respond to client queries via phone, email, and in-person interactions with professionalism
- Greet and register new clients, ensuring they receive a warm welcome
- Process and manage insurance forms accurately
- Dispense medications as required
- Process payments and manage financial transactions
- Provide empathy and support to clients during stressful situations whilst maintaining professional boundaries
- Use the in-house practice management system to organise patient records efficiently
- Liaise with other CVS practices to address patient needs and queries
- Handle telephone calls regarding debts, belongings, and refunds as needed
- Ensure every client feels welcomed and valued at the practice
Requirements
- Previous experience as a receptionist is essential; veterinary reception experience is a bonus
- Strong communication skills and genuine empathy with clients
- Resilience and the ability to handle emotionally sensitive situations with grace
- Excellent customer service experience and proven ability to work with the public
- Positive attitude and strong teamwork abilities
- Proficiency in Microsoft Office and database systems
- Right to Work in the UK (visa sponsorship not available for this role)
