Receptionist

About the Role

Aylsham Vets, part of CVS Group, is seeking a Receptionist to join their established small animal practice. This part-time position offers 16 hours per week with flexible shift patterns open to discussion, making it ideal for candidates seeking work-life balance. The practice is situated in the historic market town of Aylsham, within easy reach of Norwich and the Norfolk Coast.

You'll work alongside an experienced team comprising a Practice Director, Head Nurse, Veterinary Surgeon, Registered Veterinary Nurse, and Student Nurse. Your role is central to client care and clinic operations, providing the warm welcome and professional support that keeps the practice running smoothly.

Key Responsibilities

• Manage incoming calls and schedule appointments efficiently
• Respond to client queries via phone, email, and face-to-face with professionalism
• Greet and register new clients, creating a welcoming first impression
• Process and manage insurance forms accurately
• Dispense medications as required
• Process payments and handle financial transactions
• Provide empathy and emotional support to clients during distressing times whilst maintaining professionalism
• Utilise the in-house system to organise patients efficiently
• Liaise with other veterinary practices to address patient needs
• Manage debt and refund administration, including relevant phone calls
• Ensure every client feels welcomed and valued

Requirements

• Previous reception experience is essential; veterinary reception experience is a bonus
• Resilience and ability to handle emotional situations with grace
• Strong communication skills and genuine empathy
• Outstanding customer service skills and experience dealing with the public
• Positive attitude and excellent teamwork abilities
• Proficiency in Microsoft Office and database systems
• Right to Work in the UK (visa sponsorship cannot be offered for this role)
